# Keep the unanswered question beside the supplier quote

A quote can move through several people before anyone notices that they are interpreting it differently. One person reads the price as including individual packaging. Another treats the same number as the unpackaged product cost. Copying the number into another spreadsheet does not resolve the difference.

Contents

Keep a short unanswered-question list beside the current quote. Each entry needs a question, an owner and a next action.

# Ask a question that can be answered

“Check the packaging” is an instruction to investigate. “Does this unit price include the packaging shown in the approved specification?” identifies the missing answer. Keep the relevant quote version or specification reference with the question so that the reply is not applied to the wrong offer.

# Give the question an owner

Name the role responsible for returning the answer: sourcing, customer support or the supplier contact, for example. This does not mean publishing customer or staff personal information. The working record can use the team’s normal internal references; a public checklist should contain no private order details.

# Keep uncertainty visible

An unconfirmed charge should not turn into zero when it reaches a cost sheet. An estimated production time should not become a customer delivery promise when someone copies it into a message. Label what is unknown and say what event or response is needed before it becomes confirmed.

The useful handoff is one current quote, its assumptions, its open questions and the next responsible role. The recipient should be able to continue the work without reconstructing a chat history.
